1. Identity of the Data Controller and contact details

Rushmoor Borough Council is the data controller for the personal information you provide when you give consent for us to take, use and retain photos or videos of you or your child. 2. What we need your information for and the legal basis for it

We need your consent for your personal information so that we can take, use and retain photos and videos of you, or for your child if you are giving consent on their behalf.

3. Use for any other purposes

We will only use the photos/recordings for their original purpose without asking you for further permission.

4. Will you pass my information to anyone else?

We may need to share the material with a third-party organisation to fulfil our work, for example, with a design or printing company.

We may also pass information about you to third parties where required by law to do so.

5. How we will store and look after your information

Your photos and videos, or those of your child, will be held electronically and will not be stored in a country outside the UK. All paper records containing your personal information, or that of your child, will be held securely in our filing systems and archives.

6. How long we will retain your information

We will keep any photos or videos of your child for up to three years. We will keep any photos or videos of adults for up to ten years.

You can withdraw your consent at any time and ask us to remove permanently any photos or recordings that we have of you, or your child.

7. Your rights concerning your information

The General Data Protection Regulation gives you a number of rights concerning your personal information. See the list below. Not all rights apply in every case - it will depend on the legal basis for collecting your information and how we use it.

If you are not happy with the way the Council is handling your personal information you have the right to lodge a complaint with the Information Commissioner's Office. (ICO).

9. Why we need your information and the consequences of not providing it

We need your information so that we can take, use and store photos and videos of you or your child for council communications. If you do not provide your details, we will not be able to take, use or store photos or videos of you and your child for our communications activities.
